Privacy Policy

Arcametric doesn’t store patient records or patient identity. It stores structured statistics about practitioner workflows and outcomes. Because the system has no field for a patient’s name and no free-text clinical inputs, it is structurally impossible to enter a patient’s name. Each case is identified only by a system-generated Patient Code, while the practitioner keeps the connection between that code and the patient in their own records.

1. Scope

This Privacy Policy applies to the Arcametric website at arcametric.com and the Arcametric application at app.arcametric.com. It describes how Arcametric collects, uses, protects, retains, and shares information in connection with both services.

2. Information we collect

Website contact information

If you request a demo, ask to receive updates, or otherwise contact us through the website, we collect the email address and other information you choose to provide.

Account and professional information

When you create an Arcametric account, we may collect information such as your name, professional email address, professional credentials, license type or state, and clinic or practice name.

Billing information

Subscription payments are processed through Stripe. Arcametric does not store your payment card number.

Structured practitioner workflow and outcome data

The application collects structured information about practitioner workflows, treatments, observations, and outcomes. These inputs use structured fields and coded references rather than patient-name fields or free-text clinical narrative.

Patient identity remains outside Arcametric. Each case is represented in the application by a system-generated Patient Code.

Website patient information

We do not collect patient data or protected health information through the Arcametric marketing website.

Usage and technical data

We collect standard technical and server information used to operate, secure, and improve the services. This may include IP address, browser type, pages visited, session duration, and similar technical information.

The marketing website uses cookieless analytics to measure site traffic in aggregate and does not use tracking or advertising cookies.

3. Patient identity and data architecture

Arcametric's clinical forms have no free-text clinical input and no field that can hold a patient's name. Direct patient identifiers are blocked by the structure of the application rather than relying only on instructions to the user.

The application uses structured selections, coded references, generalized values where appropriate, and a system-generated Patient Code. The practitioner keeps the relationship between the Patient Code and the patient's identity in the practitioner's own records.

The application does not provide fields for direct patient identifiers such as a patient's legal name, full date of birth, medical record number, or street address.

Age information is collected in generalized form where applicable rather than as a full date of birth.

4. How we use information

We use website information:

  • to respond to demo requests and other inquiries;
  • to send updates you request;
  • to measure and improve the website; and
  • to keep the website secure and operating.

We use account and application information:

  • to provide, operate, maintain, and improve Arcametric;
  • to authenticate users and manage accounts;
  • to provide service notifications, safety alerts, and product updates;
  • to process subscription billing through Stripe;
  • to maintain the security and integrity of the service; and
  • to comply with applicable legal and professional obligations.

We may use eligible structured data to generate aggregate or comparative benchmarks, safety signals, and other analytical outputs supported by the Arcametric service.

We do not sell the personal contact or account information you provide to us to third-party advertisers.

5. Service providers

We use service providers to operate the website and application. These include, where applicable:

  • Supabase for database and authentication infrastructure;
  • Stripe for payment processing;
  • Vercel for application and website hosting;
  • MailerLite for email communications; and
  • a cookieless analytics provider for website analytics.

These providers process information as needed to provide their services to Arcametric.

6. Cookies and analytics

The Arcametric marketing website does not use tracking or advertising cookies. Its analytics are cookieless.

7. Data security

Arcametric uses technical and organizational safeguards to protect information processed by the service. These controls include:

  • encryption of data in transit and at rest;
  • database row-level access controls;
  • role-based user access; and
  • access and activity logging.

8. Data retention

We keep contact information you provide for as long as needed to respond to you and provide the communications you requested, unless you ask us to remove it or a longer retention period is required by law.

We retain account information while your account is active and as otherwise needed for legitimate operational, legal, or security purposes.

Structured workflow and outcome data contributed through the application may be retained after an individual account is closed where that data forms part of Arcametric's longitudinal dataset.

9. Your choices and rights

Depending on your jurisdiction and the type of information involved, you may have rights to:

  • access personal information we hold about you;
  • correct inaccurate personal information;
  • request deletion of personal account or contact information;
  • request a portable copy of information you submitted where applicable; and
  • opt out of non-essential email communications.

You can unsubscribe from marketing or update emails using the unsubscribe link in those messages.

Rights relating to account information are distinct from Arcametric's treatment of structured workflow and outcome data contributed through the application.

11. Changes to this policy

We may update this Privacy Policy as the website, application, our practices, and our legal obligations evolve. When we do, we will post the updated version here and update the date at the top of the policy.

If a material change affects registered application users, we may also notify them through the application or by email.
